Administrative Assistant – Construction Trades, Transportation, and Manufacturing – Office & Admin Specialist Senior
This position provides administrative support for the Dean of Academic Affairs: Construction Trades, Transportation, & Manufacturing and serves as the lead staff supporting the Albert Lea Campus Director. This position assists the Dean with fiscal management, onboarding, and ongoing support to faculty, organizational skills in managing the Dean’s calendar, maintaining reports and records, scheduling courses, meetings, classrooms, and faculty workloads, as well as providing daily trouble-shooting and problem-solving when student or staff issues arise.
Minimum Qualifications
- Fluently communicate, read, understand, and respond to a variety of communications, such as customers’ questions, product catalogs, requisitions, purchase orders, detailed instructions and procedures, inventory records, and distribution lists.
- Prepare responses to routine inquiries; apply accurate spelling and grammar in written communications; write, prepare, and edit materials using correct spelling, punctuation, grammar, and sentence construction. Proficiency in electronic calendar management and electronic record keeping.
- Intermediate skills with computer software applications to create word documents, spreadsheets, tables, charts, graphs, and presentations.
- Answer telephones, direct calls, and take messages; communicate effectively with internal and external customers; understand and be understood during interactions with others.
- A high degree of accuracy is needed to ensure that documents are clear, concise, and correct and that office correspondence is produced in a business-like manner.
- Must be able to manage time to work on several different projects on an ongoing basis and utilize organizational skills to complete own tasks.
- Team player, organized, and able to multitask.
- AAS Degree-Administrative Support Career Program Specialist or equivalent degree or higher.
- Prior MinnState experience and familiarity with appropriate system applications.
- Advanced knowledge of specialized software such as Microsoft Office as well as purchasing and scheduling software.
- Experience in coordinating events and meetings with internal and external customers.
- Bilingual/multilingual fluent in Spanish, Somali, Karen, Anuak, Nuer, or other languages that reflect our student body, workforce, and communities.
- Demonstrated experience working with multicultural and underserved populations.
