TRIO Administrative Assistant

Job Description

Under general supervision, this position processes and maintains a variety of fiscal and program records, written material and reports for the TRIO Student Success Service (SSS) Program. This includes maintaining a computerized information management system to record participant data, budgetary information, staff contacts, and other data required for federal reports and program evaluations. In addition, this position prepares the layout and format of fliers, brochures, and newsletters for distribution and communicates accurate and relevant information about TRIO SSS services to Riverland Community College students, faculty, staff, and administration.  

Principle Responsibilities

1. Serve as the primary clerical support to assist the TRIO staff and program participants.

2. Assist students in the enrollment process and make referrals to appropriate college staff.

3. Maintain the computerized management information system to accurate record fiscal data, participant records, and student data.

4. Perform other duties as assigned to ensure the smooth functioning of the department and maintain the reputation of the organization as a viable business partner.

Minimum Qualifications

  • Data entry skills sufficient to maintain accurate budget records and reports.
  • Customer service skills sufficient to provide prompt, courteous, and accurate information to customers in person, on the phone, and through email and other written correspondence.
  • Ability to use word processing, spreadsheet, and other software applications sufficient to prepare reports, invoices, financial statements, letters, and create, format, edit, print, and save a variety of documents, including tables and reports.
  • English skills sufficient to communicate effectively with internal and external customers and to fluently read, understand, and respond to a variety of written and spoken communications, such as customers' questions, requisitions, detailed instructions, and procedures.

Preferred Qualification 

  • Diploma or certificate in an office profession, clerical, or secretarial program.
  • Two (2) years of administrative office experience.
  • Demonstrated work or personal experience with the barriers experienced by individuals from eligible status groups (low income, first generation, persons with disabilities).
  • Bilingual/multilingual fluent in Spanish, Somali, Karen, Anuak, Nuer, or other languages that reflect our student body, workforce, and communities.
  • Demonstrated experience working with multicultural and underserved populations.

This position requires successful completion of employment references and a driver's license background check.
